2-Spouses Tours – The committee decided to go with “Southern States Tours and Conventions” to organize tours for the conference. There will be 11 whole day tour options and 4 half day tour options for spouses. We will be able to spend $50 per person per tour to keep within our budget. This appears doable with this company and this will also allow for the tours to be offered to spouses for no additional cost. The only exception may be the tour to Asheville, NC to tour the Biltmore House. Mitch is in charge of the details of the tours. For specific information on the tours look in the binder sent earlier by Mitch.

3-Spouses Workshops:

Attached to this e-mail is a list of workshops that were discussed. Each of the workshops will be 2 hours in length. We will need to know who the presenters are and their contact information. We will also need to know what materials they will need and a brief summary of the workshop. This needs to be turned into me by May 15 so it can be compiled and turned in to Karen Neill and Mark Tucker. When contacting presenters it is important to stress that we want the workshops to be as hands-on as possible. If they can have the participants to make something and take home it would be fantastic. Joanna is in charge of the details for the workshops. Our budget will allow approximately $100 per workshop. We would like this to go toward the participants. Presenters, hopefully, will be free.

The food presentations will depend on Sam Groce’s answer from the convention center. We should know something by next week. Presenter forms are attached to this e-mail for your use. Please use this form to retrieve information needed for the workshops.

4-Spouses Luncheon:

Bill Mangum will be our keynote speaker during lunch. He will be given $500. He will also hold an autograph session with the spouses. We will ask him to bring paintings and set them up throughout the area. These may be purchased as well. Karen Neill will report to the decorations committee and request decorations involving paintbrushes, palettes, etc. Mitch is responsible for the details with the speaker.

5- Budget:

It appears that we will be within our budget.

Registration gift- Will check with Barry in June.

Registration packets- Will need 350 of any little “freebe”. So far we have ornaments from Replacements, coffee packets. Spouse's Committee Meeting for 2008 December 12, 2006

Minutes

The Spouse's Committee met on December 12, 2006 at the Guildford County Extension Center. Members present were Mitch Smith, Joanna Radford, Roger Cobb, Ruby Coltrain, J.B. Coltrain, Brenda Morris, Molly Sandfoss, and special guest Steva Allgood.

Mitch Smith share an agenda and packet at the start of the meeting. The following items were discussed.

Budget – The budget for the spouse's program was reviewed. The following changes were recommended to better reflect projected costs for this program. Spouse's hospitality for an estimated 350 spouses would be $5500. Spouse's gifts were estimated to cost $3500. Spouse's tours would cost $9000. Other costs were to remain the same as of this time. Committee members questioned whether the budget shared was the whole budget to be referred to. Brenda shared a former budget from the national FCS meeting which projected costs for this meeting.

Tours – Stefa Allgood was welcomed as a representative from the Greenboro Area and Conventions Bureau. The list of proposed tours was reviewed for other suggested locations to be added. Other sites were proposed by the committee. These were Chiquapin Plantation, National Science Center, Guildford Battleground, a WW2 museau located near the zoo, and the Blanewood Mansion. After further discussion, the decision was made to let bids for these tours to be organized into various packages. This recommendation was also embraced by Ms. Allgood.

Workshops – The current list of workshops was reviewed by the committee. Brenda Morris suggested that Gilford Technical Community College be utilized as a resource for any workshops held on ethnic foods and photography. The topics of time management and meal planning were eliminated. The heading of NC wines was changed to be entitled, “Make Your Own Wine.” Brenda shared a list of craftmen from a previous event which could also be utilized. Other topics suggested were Civil War Reinactivement, Butterfly gardening, sweet potatoes, Master Gardeners, Christmonds, and wreathmaking. Michael's craft stores, and the local mall were also mentioned as possible resources.

Spouse's Luncheon – Mitch announced that Jeanne Robertson was a possible speaker for the spouse's luncheon. The suggestion was made that the FCS agent's assocation be contacted for other possible speakers.

Spouse's Gifts – Brenda shared information on a bun warmer as a registration gift for spouses. This gift cost $3000 for 490 registrants at 1999 prices. Other ideas presented were a LED flashlight and a dogwood pen ($6.50 per item). The question was raised as to the actual number of registration gifts to be given.

Other items – Mitch announced the wiki which would be used to post minutes and information related to this committee.

The meeting was adjourned.

Mark Blevins:Mitch and Joanna: My wife had some input for the 2007 spouses program and I was asked to show her a 2008 brochure for feedback. She likes the variety that you have put into the tours and workshops. There is always something to do in North Carolina and you have demonstrated that in your spouses program.
